A Practical Guide to Writing a Customer Case Study

Build a written case study around a customer challenge, a clear solution, and results the customer can confirm.

Choose a focused story

A case study should answer a buyer's practical question. Pick a customer whose situation is relevant to your audience. Define the main challenge before the interview. Gather basic company information and confirm which details can be shared. Avoid adding several unrelated problems to one story.

Write the challenge, solution, and result

Explain what the customer needed to change and why it mattered. Describe how they chose and used the solution. Finish with what changed. Use the customer's words where they add useful detail. If you include a number, explain its time period, starting point, and source. Do not imply that one customer's result applies to everyone.

Review and make it easy to use

Give the customer a complete draft to review. Confirm quotes, names, roles, and results. Use short sections and descriptive headings so readers can find the information they need. Add a clear next step at the end. Share the approved story with the sales team and record when it needs another review.
